At Newcom the Front Desk Executive will be the FACE of the company hence we are looking for a professional with a friendly attitude and the ability to multitask in a fast-paced environment with outstanding people skills.
Roles and responsibilities:-
- Your prime responsibility will be to make sure the office specially the reception areas is always presentable, professional, warm and welcoming.
- Greet guests and provide them with a high level of customer service.
- Understand the purpose of the visit and guide them accordingly
- Offer Refreshments during the waiting period.
- Maintain the conference and meeting room as per company standards.
- Politely answer all incoming calls and queries.
- Redirect phone calls to the appropriate department and take down messages in their absence.
- Accept all letters and packages and distribute them to their appropriate departments.
- Maintain and update the reception monitor with the latest achievements happening at Newcom.
- Maintain and update the Phone extension list and share as and when changes occur
- Greeting messages daily on the team WhatsApp group
- Any workplace-related announcement on email and groups
- The monitoring attendance machine is working fine
- Assist Employees with any of their daily requirements ( stationary, forms etc)
- Maintaining & updating the list for monthly utility bill payments(DEWA, Etisalat, Du, etc.)
- Maintaining & updating the monthly extra charges on Du bills for employees & submit the same for Payroll
- Building Maintenance (Coordination for AC, washrooms, Carpenter)
- Coordinating with building management for Ejari renewals
- Arranging pest control for Offices and shop
- Overseeing office maintenance and cleanliness
- Maintain stock for Pantry and Office Supplies.
Requirements:-
- Minimum 2+ years of front office and administration experience
- An Exceptional telephone etiquette
- Well-organized, dedicated, reliable, and flexible
- A self-starter capable of multi-tasking and prioritizing
- Strong knowledge of MS Office, including Outlook, Word, PowerPoint, and Excel
- Ability to take initiative in completing assigned work and projects
- Enthusiastic and personable
